Tasks

 

simple_tasks

WorldClient tasks allow you to create a list of tasks, projects and to-do items.  If you use Outlook Connector WorldClient will automatically synchronize tasks from Outlook with WorldClient's task list so you'll have access to the information in Outlook and anywhere you've got access to the internet through a modern browser.

 

You can sort tasks by Subject, Due Date, Status and Completion.  You can delete tasks by clicking the Delete link at the end of each task row.  If you do not have permission to delete the delete link will not be present for the task.  By clicking on the task subject you can view or edit the task.  The priority of the task is marked by the icon at the far left of the row, tasks with a normal priority do not have an icon while high priority tasks show a red exclamation mark and low priority tasks have a blue arrow pointing down.

 

Adding and Editing Tasks

tasks_tab_1Each task entry must have at least a Subject and you can further specify due dates, start dates, the status of the task, it's priority in relation to all tasks in general as well as how complete the project is.

 

The first tab displays the primary fields for tasks which are below:

Subject - the main description of the task, this will be output on the Task list.

Due Date - this is when the task should be completed by

Status - the current state of the task in general.  This select area gives you the following status options: 'Not Started', 'In progress', 'Completed', 'Waiting on someone else', and 'Deferred'.  If the status is changed to 'Completed' WorldClient will automatically change the '% Complete' field to 100%.

Start Date - The date that the task specified was started.

Priority - The importance of the task, this select area gives you the following options: 'Low', 'Normal' and 'High'.

% Complete - Specify a number between 0 and 100 representing the estimated stage of the task.

Reminder - Check the Reminder checkbox and specify the date and time you would like to be reminded about the task.

Description - The description field allows you to write a longer description of the task as well as its requirements and specifications.

Categories - The categories that this task may be labeled as.  By clicking on the Categories button many predefined options are presented and each category that you select will be placed into the categories field.

Private - Check the private checkbox if this task is private and it will not be shared with others who have access to your task folder.

 

Details Tab

tasks_tab_2The second tab of the Tasks dialog allows you to set extra details about this task including the following options:

Date completed - You can keep track of the completion date by entering or selecting the date for the date the task was completed.

Estimated work - the time estimated to complete the task in hours

Mileage - If any mileage for travel was involved this field will allow you to keep track of the miles driven for the task.

Actual Work - Keep track of the actual hours worked for the project to compare estimates and actual time for further honing of time management skills.

Billing - most often a billing code or project code for billing purposes.

Companies - The companies involved with this task. If a task involved multiple companies then they may be represented here for follow up.

 

Copying or Moving a Task or Tasks

Copying or moving a task is simple and is almost identical to copying or moving a message.

1.Select the tasks in the task list you would like to copy or move
2.Click the 'copy/move' link at the top of the page
3.A popup window will prompt you for the destination folder, select the folder you want to copy or move the task to
4.Click the 'Copy' button to copy the task to the destination folder or click the 'Move' button to move the task to the destination folder.
