Appointments

 

An appointment is a block of time set aside for a specific purpose. Usually it involves being at a certain place at a certain time. A visit to the doctor, meeting friends for lunch, or getting a haircut at a certain time are all good examples of appointments.

 

Appointments can be designated as either public or private.

Public appointments can be seen by everyone who views your calendar, except those who specifically have been denied access by you. Private appointments can only been seen by you and those to whom you give specific permission.

Adding an Appointment to the Calendar

Public and private appointment calendar events are both created in exactly the same manner. You will designate the appointment as public or private during the appointment creation process.

To add an appointment to a calendar:

1.Log in to WorldClient and click the calendar link from the bottom left hand corner of the LookOut theme, or select the calendar folder you'd like to edit from the folders list.
2.You can either click the "New Appointment" icon appointment for the date you'd like to add an appointment to.
3.The appointment dialog will open up and you will be need to add at least a subject to save the appointment.
4.Add a location to the location text field
5.You may choose to set a label for the event such as Important, Business or Personal.  You can also leave this field set to 'None' if this appointment does not need such a specification.
6.You can then set the start date either by manually typing in the date in the YYYY/M/D format or select the date from the date picker by clicking the button next to the start date field.
7.If you are setting an appointment that is part of the day you should choose a start time, otherwise if the event is an all day event you can select the 'All Day Event' checkbox.
8.Select the end date similarly to the start date in the previous step.  If this is not an all day event specify the end time as well.
9.If you would like a reminder email you should select the Reminder checkbox and then pick the reminder date and time
10.It is suggested that you type a longer description of the appointment and any notes you might have regarding the appointment in the large text area at the bottom of the first tab
11.You may pick a category for this appointment as well as type in any specific self-described categories.  By clicking on the Categories button you will be presented with a pre-defined set of options
12.If this is a private appointment that you don't want others to be able to read but yourself you can select the 'Private' checkbox.
13.If there are other attendees you can select the 'Attendees' tab of the dialog
13.1.For each attendee you would like to add you should click the 'New Attendee '  button at the bottom of the Attendees tab.
13.2.You can click the Contact Picker button to add contacts from the contact picker.
